Overview

The Settlements page is your central hub for managing driver payroll settlements. This is where you can view, filter, and process all driver and owner settlements for weekly payroll runs.


Accessing the Settlements Page

How to Navigate to Settlements

  1. Click the Payroll menu item in the left navigation panel

  2. Select Settlements from the submenu

  3. The Settlements list will load, showing the current week's settlements by default


Understanding the Settlements Dashboard

Week Progress Overview

At the top of the page, you'll see the Week progress section that provides a quick summary of settlement statuses:

  • Ready to be processed: Settlements that are ready for payroll processing for ongoing week

  • Processed: Settlements that have been completed and processed for payment for ongoing week

  • Changes to review: Settlements that have been flagged for review before processing (shows count with reviewer avatar)

  • Waiting for documents: Settlements that are missing required documentation

Settlement List Tabs

The settlement list is organized into two main tabs:

Ready to be Processed Tab

This tab shows all settlements that are:

  • Ready for payroll processing

  • Awaiting your action to process

What you'll see: The tab badge shows the count of settlements waiting (e.g., "Ready to be processed (3)")

Processed Tab

This tab displays settlements that have been:

  • Successfully processed for payment

What you'll see: The tab badge shows the total number of processed settlements (e.g., "Processed (7)") Example:

If you're running weekly payroll and have 9 total settlements, you might see 3 in "Ready to be processed" and 7 in "Processed", with one flagged for review.


Settlement List Columns

The settlement list displays the following information for each driver:

Name - Driver's or owner's name

Legs - Number of trip legs completed during the period

Deductions - Total amount of deductions (displayed as dollar amount, e.g., $0.00)

Reimbursements - Total reimbursement amount due to the driver (e.g., $67.70)

Gross pay - Total gross pay before deductions (e.g., $45.00)

Search Functionality

Searching by Driver or Owner Name

At the top of the settlement list, you'll find a search bar:

  1. Click the Search by name field

  2. Type the driver's or owner's name (first name, last name, or partial name)

  3. Results filter automatically as you type

  4. Clear the search to return to the full list

Example:

To find "John Smith's" settlement, type "John" or "Smith" in the search bar. The list will show only matching results.


Filtering Settlements

Click the Filters button (with a badge showing active filter count) to open the filter panel.

Driver Details Filters

Run payroll for:

  • Select which driver ownership type to display

  • Options: Owners, Company drivers, or All

  • Default varies based on your typical workflow

Driver type:

  • Filter by specific driver classification

  • Options: All, or specific driver types in your system

  • Helps segment payroll by driver category

Assigned To Filters

Payroll manager:

  • Filter settlements by assigned payroll manager

  • Useful for distributed payroll teams

  • Shows only settlements assigned to specific managers

Company:

  • Filter by company or division

  • Helpful for multi-company operations

  • Narrows results to specific business units

Applying Filters

  1. Click the Filters button (shows badge with active filter count)

  2. Select your desired filter options from the dropdown menus

  3. Filters apply automatically as you select them

  4. Click Reset at the top of the filter panel to clear all filters

  5. Close the filter panel by clicking the X in the top right

Active Filter Indicator: The filter button displays a blue badge (e.g., "1") showing how many filters are currently active. Example:

If you want to process only Owner-Operator settlements for the week, open filters and select "Run payroll for: Owners". The list will update to show only owner-operator settlements.


Date Range Selection

Next to the Filters button, you'll see the date range selector (e.g., "Sep 8th - Sep 14th"):

  1. Click the date range to open the calendar picker

  2. Select week

  3. The settlement list updates to show settlements for that pay date period

  4. The default view shows the current payroll week

Additional Actions

More Menu

Click the More button (with dropdown arrow) to access additional actions:

  • Divide workload

  • Payroll reports

  • Bulk upload per diem

Common Use Cases

Example 1: Processing Weekly Payroll for All Drivers

Context: It's the end of your payroll week and you need to process all ready settlements Goal: Review and process all settlements efficiently

Steps:

  1. Navigate to Payroll > Settlements

  2. Check the "Ready to be processed" count in the Week progress section

  3. Click the Ready to be processed tab

  4. Review the list of settlements

  5. Click More to access bulk processing options (if available)

  6. Process settlements according to your payroll workflow

Result: All ready settlements are processed and moved to the "Processed" tab


Example 2: Finding a Specific Driver's Settlement

Context: A driver calls asking about their settlement status Goal: Quickly locate their settlement information

Steps:

  1. Navigate to Payroll > Settlements

  2. Type the driver's name in the Search by name field

  3. Review their settlement details in the filtered results

  4. Click on their row to view complete settlement breakdown

Result: You can quickly answer the driver's questions about their pay


Example 3: Reviewing Only Owner-Operator Settlements

Context: You process owner-operators and company drivers separately Goal: View and process only owner-operator settlements

Steps:

  1. Navigate to Payroll > Settlements

  2. Click the Filters button

  3. Under "Run payroll for", select Owners

  4. Review the filtered list showing only owner-operators

  5. Process these settlements separately from company drivers

Result: You can manage different driver types independently


Important Notes

⚠️ Important:

  • Settlements with the "Changes to review" flag should be reviewed carefully before processing

  • The date range selector affects which settlements are displayed - ensure you're viewing the correct payroll period

  • Search and filters can be combined to narrow results (e.g., search for a name within filtered results)

  • Filter counts update in real-time as you apply different criteria

Permissions: You must have payroll management permissions to access and process settlements.


Troubleshooting

Issue: I Don't See Expected Settlements in the List

Issue: The settlements list appears incomplete or empty

Possible Causes:

  • Viewing wrong date range

  • Active filters are hiding results

  • Settlements haven't been generated for this period yet

Solution:

  1. Check the date range selector at the top - ensure you're viewing the correct week

  2. Click Filters and then Reset to clear any active filters

  3. Verify settlements have been generated for the selected period

  4. Try searching for the specific driver by name

If this doesn't work: Contact support to verify settlement generation status


Issue: Can't Find a Specific Driver

Issue: Search returns no results for a driver you know exists

Possible Causes:

  • Driver name spelling variation

  • Driver has no settlements for this period

  • Active filters are excluding the driver

Solution:

  1. Try searching with just first name or last name

  2. Clear all active filters by clicking Reset in the filter panel

  3. Check if the driver has any activity for the selected date range

  4. Verify the driver has completed trips during this period


Issue: Filter Badge Shows Active Filters But I Don't See Them

Issue: Filter button shows "1" or more but filters aren't visible Solution: Click the Filters button to open the filter panel and see which filters are applied, then click Reset to clear them if needed
