Unreleased orders screen is mostly used to check the billing status of the order and release order for the payroll.
Accessing the unreleased orders screen
Unreleased orders screen can be accessed by pressing on Billing and selecting Unreleased orders:
Upon pressing on it new information will be presented:
On the top of the screen, the week can be selected. Press on Select week and select a week period from the calendar:
The order can be searched by:
Driver name;
Truck number;
Order number;
When releasing the order for the payroll, drivers or owners can be selected from the dropdown list;
Orders can be filtered out by driver company, driver type or order status.
Order release
More detailed information about the order can be accessed when pressed on specific order:
Basic driver information will be presented:
Driver type;
Driver phone number;
Email address;
Home address;
Assignment will be shown:
Truck number;
Trailer number;
Company name;
Driver manager;
Cargo details will be visible:
Commodity;
Pallets;
Pieces;
Weight.
Documents
When scrolled down, the information documents will be shown. During the delivery the driver has to upload Bill of Lading and Proof of Delivery documents.
If a required document is uploaded it will be shown as uploaded. If a mandatory document is missing - it will be shown as missing:
If a new document needs to be re-uploaded press on Add Document and select from the document type;
The driver can be notified about missing documents. To notify the driver press on the phone icon, on Ask Driver button - new window will pop up where the message has to be entered:
Expenses
When scrolled down the information about driver expenses will be visible - expenses that are uploaded by the driver during the delivery will be shown here:
There are four different status of the expenses:
Open status:
This status is shown when the expense is added and it awaits the approval;
Approved status:
This status is shown when the expense has been approved by the billing department representative;
Paid status:
The status is shown when the expense is paid for the driver;
Cancelled status:
This status is shown when the expense was not approved by the billing department representative and is cancelled.
Additional expense can be added manually by the driver manager or the billing department representative if needed, more information on how to add a new expense can be found here.
Driver can be notified if there is no imaging added - it can be done by pressing on the phone icon;
Imaging should show that the driver had some sort of expense. It can be car wash, toll, etc. invoice or receipt regarding the expense should be uploaded;
To view images press on the gallery icon:
Uploaded images can be downloaded or deleted.
Driver Pay
The driver pay will be presented when scrolled down:
Driver pay type is shown;
In this example the driver is getting paid by calculating empty and loaded miles. Read more about different pay type drivers in this article.
Miles/hours/days can be edited if there was a mistake in the calculation - it can be done by pressing on pen icon;
Order route
Lastly, the order route is presented:
In this window the order summary: route type, order number, company name, address, city and date of the order is presented.
Releasing orders for payroll
To release orders for payroll, press on the red Release for payroll button:
After that the order will be released for payroll, meaning that the order is approved by the billing department representative and the pay for this order will be paid out with the next settlement. More about settlements can be found here.
If something was forgotten, for example extra driver pay was not added and the order was released for payroll, the extra pay will be added to the next settlement. There is no option to edit order details after it is released for payroll.
