How to add a new order

In logistics, the order creation process is vital. Ensuring complete and accurate information during order creation helps avoid delays and errors, ultimately contributing to a more streamlined and reliable supply chain.

There are now eight steps for adding a new order, guided by the vertical navigation bar on the left side of the order creation screen.

Accessing the Order Entry Screen

  1. Click Orders on the left side menu.

  2. Click the blue Add Order button on the right side of the screen.

  3. The new order creation form will open, featuring a vertical navigation menu to guide you through the required steps.

Order Creation Steps

The order creation form is split into sections, which you can navigate using the left-hand menu. The most efficient method is to complete them in order from top to bottom.

1. Rate Confirmation

This section is for uploading supporting documents, such as the load confirmation.

  • Click the Select file to upload or drag & drop here area to attach the relevant document.

2. Customer details

This is where you specify the customer and related billing and personnel information.

  • Customer: Select the customer from the dropdown list.

    • Tip: Start typing the customer's name to filter the results.

    • If a new customer is needed, click the "plus" icon next to the field to create one.

  • Billing details: Select the correct billing address/contact for this order.

  • CSR (Customer Service Representative): Select the user responsible for managing this order.

3. Route

This section manages the stops and the assets required to execute the order.

  • Assign Assets: Click the Assign assets button to select the assigned driver and truck pair, or a single truck/trailer, for the order.

  • Stops: Stops must be added to define the route.

    • The order can only be created after at least two stops are added (a Pick up and a Delivery stop).

4. Delivery details

Enter all necessary shipment and cargo specifics in this section.

  • Purchase order number and Bill of lading number need to be entered.

  • Miles: Miles will be automatically calculated between the pickup and delivery locations, but can be manually corrected if needed.

  • Commodity: Select the type of freight being shipped from the dropdown (e.g., Freight all kinds).

  • Trailer type (e.g., Van, Reefer, Flatbed) and Trailer length (e.g., 53', 48') should be selected from their respective dropdowns.

  • Min cargo temperature (optional) and Max cargo temperature (optional): Enter temperature requirements if shipping temperature-sensitive cargo (e.g., Reefer loads).

  • Specialty (optional): Select any special requirements for the driver or equipment (e.g., Hazmat, Team, TWIC).

  • Weight, Pallets (optional), and Pieces (optional): Enter the total quantity of the shipment.

5. Assignees

Select the internal assignees responsible for the order delivery.

  • Company: Select the specific company (helpful for companies with multiple entities).

  • Division: Select the relevant operating division.

  • Booked by: Select the user who is booking the order.

6. Revenue

Set the customer's billing rate for the order.

  • Revenue type: Select the billing structure from the dropdown. Common options include:

    • Flat rate

    • Line haul + Fuel surcharge

  • If you select Line haul + Fuel surcharge, you will need to configure the following:

    • Line haul type: (e.g., Flat, Per mile, Per Tier Weight).

    • Fuel surcharge type: (e.g., Flat, Per Mile, Percentage).

  • Enter the corresponding rate in the input fields provided (e.g., Line haul flat rate, Fuel flat rate).

  • The system will automatically calculate the Line haul, Fuel surcharge, and Total revenue on the left side.

7. Accessorials

Add any additional charges related to the order.

  1. Click the blue + Add accessorial button.

  2. Choose Type from the dropdown list (e.g., Detention, Lumper, Layover, Additional Stops).

  3. Select Quantity.

  4. Enter price per Quantity.

  5. Repeat this process for any other accessorials needed.


Saving the Order

After completing all sections, click the Save button in the bottom right corner of the screen. The new order will be created and displayed on the Orders page.
