How to View and Manage Order Details

General, route, billing and timeline information about an order

Overview

Order management allows you to view and update all details about an order including customer information, routes and stops, driver and truck assignments, billing information, and order history. You can access any order from the Orders list to review its status, make changes, or track its progress.


Accessing Order Details

Opening an Order

  1. Click Orders in the left navigation menu to view your orders list

  2. Find and click on the specific order you want to manage

  3. The order details page opens with General tab by default:


General Tab - Order and Customer Information

The General tab provides core details about the order and customer.

Order Details Section

You'll see essential order information including:

  • Division: Which division is handling this order (optional)

  • Specialty requirements: Hazmat, Endorsed tanker, Team drivers, or TWIC requirements

  • Commodity: Type of freight being transported

  • Weight: Total weight in pounds

  • Pallets and Pieces: Quantity information

  • Temperature settings: If temperature-controlled shipping is required

  • References: Any reference numbers associated with the order

To edit order details: Click the pencil icon next to "Order details". Only Waiting for planning order details can be edited.

Customer Details Section

This section shows:

  • Customer name

  • Booked under (company name)

  • Booked by information

  • Freight type (e.g., Full truck load)

To view full customer details: Click customer name

To view company details: Click company name

Assets Section

The Assets section displays currently assigned resources:

  • Driver: Shows assigned driver or "No assets assigned"

  • Truck: Shows assigned truck or "No assets assigned"

  • Trailer: Displays trailer number(s) if assigned

To view full driver, trailer, truck details: click name or number

Order Progress Visualization

At the bottom of the General tab, you'll see a visual timeline showing:

  • Completion status: Percentage of legs completed (e.g., "0% (0/1 leg)")

  • Expected completion: Shows if order is scheduled or not

  • Leg status: Each leg appears with its current status (Unplanned, In Transit, or Completed)

  • Route visualization: Start and end locations with mileage


Route Tab - Stops, Assets, and Planning

The Route tab is where you plan and manage the transportation details for each leg of the order.

Understanding Legs

A leg represents a portion of the order's journey with a series of stops. Each leg shows:

  • Leg number and status (e.g., "Unplanned", "In Transit", "Completed")

  • Pickup and delivery locations with addresses

  • Appointment dates and times

  • Assigned trailer number

  • Load type (Pickup or Delivery) and status (Live, Pending)

  • Total miles for the leg

Managing Leg Details

Click on a leg to expand and view detailed stop information in a table format:

Stop Information Includes:

  • Location name and full address

  • Appointment date/time with timezone

  • Trailer number

  • Stop type (Pickup or Delivery)

  • Load status

  • Status (Pending, Completed, etc.)

  • Available actions (copy, edit, delete, expand)

Assigning Assets to a Leg

To assign a driver and truck:

  1. Click Assign assets button

  2. Select from available drivers and trucks

  3. Click Save

Managing Stops

To add a stop:

  1. Click Add stop within the leg

  2. Enter location and appointment details

  3. Click Save

To split a leg:

  1. Click the Split button on the right side

  2. This creates two separate legs from the original route

πŸ’‘ Tip: You can view detailed driver and asset information by clicking the blue icons next to driver/truck assignments.

Leg Mileage Details

Hover over the mileage numbers to see:

  • Empty miles: Distance traveled without cargo

  • Loaded miles: Distance traveled with cargo (billable miles)

  • Stop-by-stop breakdown


Billing Tab - Financial Details

The Billing tab displays all financial information related to the order.

Billing Details Section

Located on the left side, this section shows:

  • Customer billing address

  • Bill-to location (e.g., "Township of Edford")

  • Full billing address

  • Billing type (e.g., EDI)

  • Purchase order number

  • Bill of lading number

  • Billing miles (may differ from actual miles)

To edit billing details: Click the pencil icon and make changes

Financials Section - Leg Breakdown

The main area shows financial details organized by leg:

For each leg you'll see:

  • Location names and cities

  • Stop types (Pickup/Delivery)

Accessorials

Accessorials are additional charges beyond the base rate. The current accessorial total displays prominently (e.g., "$0.00").

To add an accessorial:

  1. Click Adjust finances dropdown (top right)

  2. Select Add accessorial

  3. Choose the accessorial type, leg and enter the amount

  4. Click Save

Revenue Section

The total revenue displays at the bottom, showing how the customer will be charged:

  • Rate type (e.g., "Line haul", "Fuel surcharge")

  • Amount (e.g., "$1,254.78")

  • Total revenue for the order

Additional Financial Actions

The Adjust finances dropdown provides options to:

  • Add accessorial: Add additional charges

  • Adjust the split: Change how revenue is split between legs

  • Edit revenue: Modify the base revenue amount


Communication Tab - Updates and Timeline

The Communication tab shows all activity and updates related to the order.

Timeline View

You can view:

  • Driver check-ins and status updates

  • ETA (Estimated Time of Arrival) information

  • PTA (Planned Time of Arrival) information

  • System-generated events and changes

  • Order management history

When a new order is created, it will show "There are no updates" until activity begins.

πŸ’‘ Tip: This tab is particularly useful for tracking driver progress and investigating any issues that occurred during the order lifecycle.


Order Status Management

Order status changes automatically based on the order's phase:

  • Waiting for planning: Order created but not yet planned

  • Committed: driver accepted the load

  • Delivered: All stops completed

  • Billed: Billing has been processed

  • Paid: Customer payment received
