When the order is delivered the billing process is started. To manage billing, there are several screens in 10 Speed TMS - in this article we will explain how unbilled orders screen works.ย
Accessing unbilled orders screen
To access unbilled orders screen, go to Billing and select Unbilled orders:
Upon pressing the button, unbilled orders information will be presented:
This dashboard can be customized if needed. More information on how to customize the dashboard can be found here.
The basic information about the order will be presented in this dashboard:
Delivery date;
Order ID number;
Bill to code;
Pickup location;
Delivery location;
Truck ID number;
Driver name;
CSR (Customer support representative);
Information whether the order is released for billing;
Order status information (more information about order status can be found here).
Filters can be added when searching for an order. Select filters on the top of the screen and press search:
Filters fill be shown in a dropdown list, for example when choosing order status filter:
Billing unbilled order
The order can be billed in this stage. Press on the order which has to be billed. New information will pop up. Check if the information is correct:
Order status will be shown. It can be changed manually if needed. More information on order status can be found here.
General information can be edited if needed - press on Edit button on the screen. There bill of lading and purchase order numbers can be edited.
Cargo details can also be edited. Press on Edit near the cargo details, these details can be edited if needed:
Commodity;
Number of pallets;
Pieces;
Weight.
When scrolled down, financial information about the order will be visible:
Financial details can be edited if needed by pressing on the pen icon on the right side;
New accessorial can be added. Press on the Add Accessorials and type in the necessary information:
Accessorial Type;
Quantity of accessorial;
Price per quantity;
The documents will be shown when scrolled down further. The documents should be uploaded by the driver, if some of the documents are missing the manager can ask the driver to upload the document.
Contacting driver for documents
To ask the driver press on the three-dot icon - a pop up will be shown. Press on Ask Driver:
Upon pressing the button, new window will pop up where the notification text and notification method can be selected:
After texting the message and selecting the notification method, press on Send;
When scrolled down the route information can be visible:
Route type:
Pickup;
Delivery;
Additional stop;
Driver;
Truck number;
Trailer;
Company name;
Company address;
City;
Date of the route;
Adding billing notes
Billing notes can be added by pressing on Add Note:
When the note is added press on the checkmark - it will be shown and added to the billing information.
To bill the order press on the red button on the right side of the screen:
After pressing the button, new window will appear - select the documents required for the billing, after that, press on Bill Order:
Upon pressing the button, the order will be billed, meaning that the invoice was sent to the customer.
Same steps can be followed to bill multiple orders. Just select orders that have to be billed and press on Bill Orders:
