Orders management

General, route, billing and timeline information about an order

When a new order is created it will be shown in the order list, more information on how to create a new order can be found here. This article focuses on how to view and manage order details including customer information, legs (stops), route information, driver and truck information, trailer information, billing information, and order history.

Accessing the orders page

  • The list of orders can be accessed by pressing on Orders on the left side of the screen:

  • To manage orders choose and press on one specific order:

  • Information about the order will be shown:

    • Order number;

    • Customer;

    • Company;

    • Loaded miles;

      • Loaded miles are miles that the customer is paying for;

    • Revenue;

    • Status;

      • More information on order status, how order status is changing etc. can be found here;

    • Tags;

      • Tags can be added in this step if needed, more information on how to add tags can be found here;

  • To manage order just press on selected order and new menu will pop up on the right side of the screen:

General

  • Order number and order status will be shown here. Order status changes according to its phase automatically.

  • Imaging and Notes for order can be added:

    • How to manually add Imaging can be found here. Note that Rate Confirmation, Bill of Lading, Proof of Delivery documents are uploaded automatically during the order creation or during the dispatch;

  • Order details will be visible when general is selected:

Order details

  • Order details will be visible:

    • Division;

    • Commodity:

      • More information on commodities can be found here.

    • Pallets;

    • Pieces;

    • Weight;

    • Specialty:

      • Hazmat;

      • Endorsed tanker;

      • Team;

      • TWIC.

    • Temperature;

    • Temp. Continue;

    • References;

  • If needed order details can be changed by clicking on the pen icon.

Customer details

  • By pressing on the blue search icon bellow "Customer" Customer details can be viewed:

  • If any mistakes occurred when entering customer details it can be edited. Press the pen icon on the right side of the screen.

  • By pressing on the blue search icon bellow "Booked under" Company details can be viewed:

  • Bellow Customer details information about Legs can be found:

  • Status of completion will be presented in this window;

  • If a leg is completed it will appear as green, if it is in transit it will appear as blue, and if the leg is not planned it will appear as grey;

  • By hovering on the location icons (arrows) additional stops, pickup or delivery addresses can be seen.

Route information

Route information can be found when pressing on Route button

Leg

  • By pressing on route button Leg starting, finishing points and Leg Status will be shown. More information about Leg status can be found here;

  • The leg will be shown green if it is completed, if it is in blue it is preplanned or in transit;

  • If more detailed information is needed press on a Leg. More information about Legs can be found here;

  • Driver and truck information can also be viewed if needed. Press on the blue button where driver license and van icons are visible. More information and tips on how to view a driver, van and assets can be found here.

  • When planning new order the division can be added (optional) Division can also be assigned in this screen. By pressing on division button, the division can be removed or changed if needed - drop down list will show from which division can be chosen;

  • Leg mileage can be viewed - if more detailed information is needed hover the mouse on the mileage numbers:

    • Empty miles and loaded miles will be visible. More information about empty and loaded miles calculation can be found here.

    • Stops will also be visible in this pop up window.

  • Leg notes and imaging can be viewed by pressing on the corresponding icon;

  • Leg stop destination can be checked by pressing on a blue search icon by the location name. A new window will pop up with detailed information:

  • Priority levels or special instructions for each stop within an order can be set using tags. These tags are customizable and can represent various meanings or instructions specific to a company's operations. By assigning tags to individual stops, priority levels or special requirements can be effectively communicated to drivers or other personnel involved in the order fulfillment process.

Trailer

  • Trailer that is added in every stop will be used. By pressing on Trailer information about it can be seen:

  • Trailer can be viewed, changed or unassigned. If detailed information is needed press on View Trailer. New window will pop up with detailed information. More information about Trailer can be found here.

  • If the trailer needs to be changed press on Change and choose a different trailer from the drop down list:

  • When the new trailer is chosen press Save;

Leg stop status

  • Leg stop status can also be viewed or changed if needed. More information on leg statuses can be found here. Click on the status and choose one from the drop down list:

  • Leg can also be split by pressing split button. More information on how to split a leg can be found here.

Billing information

Detailed billing information can be accessed by pressing on the Billing button:

  • Billing details will be shown on the left side of the screen. If needed it can be edited and changed. Click on pen icon and edit billing details;

  • More detailed information on how to add new billing address can be found here.

  • Financial information can be seen when scrolled down. It can be edited and changed if needed:

  • To add an additional accessorial press Add accessorial. More information on how to add a new accessorial can be found here.

  • After adding needed information press Save.

  • Additionally revenue can be split between the legs. More information on how to split leg revenue can be found here.

Timeline

  • When pressing on timeline order management history can be seen:

Deleting an order

  • As of now, there is no option to delete an order, but order can be cancelled;

  • To do that, select an order and press on it, then press on the order status:

  • To Cancel the order press Cancelled;

  • The order will be cancelled and the status will be changed to Cancelled:
