Accessing and adding new receivables

Receivables term refers to the money that is owed to a company by its customers or clients for goods or services provided. It represents the company's expected future cash inflow. Accounts receivable are recorded as assets on the company's balance sheet until the payments are received. The receivables screen shows all the accounts receivables.

Accessing the receivables screen

  • Receivables screen can be accessed by pressing on Billing and selecting Receivables. The number 19432 indicates the number of open receivables at the time:

  • Upon pressing on it, new information will be presented:

  • On the top of the screen filters can be selected to make the management of the receivables easier;

    • Paid receivables can be filtered;

    • Open receivables can be filtered;

    • Approved receivables can be filtered;

  • If a specific receivable is needed, it can be searched using the search bar on the top of the screen;

  • Company can be filtered out by selecting company filter - select the company from the dropdown list;

  • Customer can be filtered out by selecting company filter - select the customer from the dropdown list;

Adding a new receivable

  • To add a new receivable press on Add receivable on the top of the screen;

  • A new window will pop up where the information about the receivable has to be entered:

    • Select the Receivable type from the list;

    • Enter the Amount of the receivable;

    • Enter the Reference of the expense;

    • Select the company Account from which the receivable has to be paid;

    • Select the Company from the dropdown list;

    • Select the Customer from the dropdown list;

    • Select the Order number;

  • When the information is added press on Save.

  • After adding the receivable it will be shown in the receivables list:

  • When pressing on the specific receivable more detailed information will be shown:

  • The receivable can be edited if needed by pressing Edit;

  • On the top, the imaging and notes can be accessed;

  • The receivable status will be shown on the bottom, there are three receivables status:

    • Open - the receivable is undergoing the approval or denial process;

    • Approved - the receivable is approved by the responsible department;

    • Paid - the receivable is paid;

    • Cancelled - the receivable was not approved and cancelled by the responsible department;

  • The receivable can be deleted if it is not relevant by pressing on the trash can icon on the bottom;

  • When pressed on Order, the order information will be shown:

  • When pressed on Customer, the customer information will be presented:

  • The Billing information will be visible when pressed on Billing:
