Overview

Driver time off (also called home time) allows you to track when drivers are unavailable due to vacation, sick leave, personal time, or other reasons. This helps with accurate dispatching and planning by showing driver availability in real-time.

Quick Answer: You can add driver time off through the driver's profile in the Assets section or from opened driver profile from dispatch board. Time off is then automatically visible when assigning assets and planning orders.

Adding Driver Time Off

You can add time off for drivers when they have vacation, are sick, have a breakdown, or need time away for any reason.

Steps to Add Time Off

  1. Navigate to the Drivers list:

    • Go to Assets in the main navigation

    • Click on Drivers

    • Or can open driver profile in dispatch board

  2. Select the driver:

    • Find the driver in the list

    • Click on their name to open their profile

  3. Add time off:

    • Click the Time off button in the profile window

    • A new window will appear for entering time off details

  4. Enter time off details:

    • Type: Select from the dropdown menu:

      • Sick leave

      • Vacation

      • Personal time

      • Breakdown

      • Absence

      • HOS reset (Hours of Service reset)

    • Date: Select the start date from the calendar

    • Time: Select the start time

    • Additional information

  5. Save:

    • Click Save to record the time off

    • The time off will immediately appear in the driver's profile and availability calendar

Example: Scheduling Vacation Time

Context: Your driver requested vacation time for a week.

Steps:

  1. Go to Assets > Drivers and select the driver

  2. Open their profile

  3. Click "Time off" button

  4. Select "Vacation" from the type dropdown

  5. Choose the start date and time (e.g., July 15, 2025 at 12:00 AM)

  6. Add note: "Summer vacation - approved"

  7. Click Save

Result: The vacation time is recorded and the driver will show as unavailable during asset assignment and order planning for that period.

Tip: Add time off as soon as you know about it to avoid accidentally assigning loads during unavailable periods.

Viewing Driver Availability

Time off information automatically appears in multiple places throughout the system to help you make better dispatching decisions.

When Assigning Assets to Loads

When assigning drivers and trucks to loads, you'll see home time indicators next to driver names:

Home time indicators:

  • Yellow home time: Driver is currently on time off (unavailable now)

  • Blue time: Driver has scheduled time off coming up soon (available now, but will be unavailable)

How to see details: Hover your mouse over the "Home time" indicator to see the specific dates and type of time off.

Important Notes

Time Off Duration

Important: There are no system limitations on how many days can be added to driver home time. However, time off should align with your company's policies and compliance requirements.

Historical Records

All time off entries are preserved in the system, including past time off. This creates a historical record of driver availability that can be useful for:

  • Reviewing attendance patterns

  • Compliance documentation

  • Payroll verification

  • Performance reviews
