When using our TMS the driver has to be created, in order to proceed with the orders.
When creating a new driver asset, firstly, make sure that drivers create permission is enabled. This guarantees that users have the necessary access rights to initiate the asset creation process within the system. If permissions are not granted, ask your company admin for assistance.
Accessing the driver asset
To add a new driver press on Assets and then select Drivers:
Adding a new driver asset
The drivers will be presented. To add a new driver press on Add driver on the right top of the screen:
General information
New window will pop up, add the basic driver information will be shown:
Driver identifier number;
First and Last names;
Phone number;
Email address;
Home address;
Date of Birth;
Social Security Number (SSN).
After entering the details press Next:
Employment details
In the next step the Employment details have to be entered:
Select driver type from the drop down list:
W2 - company driver: the driver is an employee who receives all equipment and the truck from the company, while the company manages tax payments and withholdings on their behalf;
Contract - the contracted driver operates under a 1099 Contract and works independently. They utilize the company truck for their tasks and have the option to purchase certain items like insurance from the company. Gross payment is issued to the contractor, and tax withholding is not performed by the company. The contractor driver is responsible for managing their own tax payments prior to Tax Day;
Owner - The driver is affiliated with the owner-operator, and the company solely handles driver dispatch without being responsible for salary disbursement. The owner-operator is responsible for compensating their driver, while the company makes payments to the owner-operator entity;
Lease - The driver, operating as a contractor, has leased a truck from the company. Compensation is typically based on a percentage, and the driver handles their own tax obligations. Additionally, lease payments are subtracted from the driver's gross salary;
Select the Company from the dropdown list that the driver is working under;
Select the Terminal from the dropdown list from which the driver operates;
Select the Division;
Select Driver Manager responsible for the driver from the dropdown list;
Select the Recruiter from dropdown list;
Enter the Parking city of the driver. This is where their home is;
Enter the Driver's license number;
Enter the State that issued the driver's license;
Enter the driver's license Expiration date;
Enter the date of the next DOT (department of transportation) Physical checkup;
Enter the Driving record date;
Enter the Clearinghouse review date;
Optionally add Fuel card number;
Financial details
Select the driver pay type from the following:
Per mile;
Per hour;
Per day;
Percentage;

Additional information
Enter the additional driver information;
Driver starting date;
Select CDL endorsement list:
(P) Passenger transport - this endorsement on a CDL allows drivers to operate vehicles designed for carrying passengers, such as buses or vans;
(T) Double/Triples - the Double/Triples endorsement on a CDL enables drivers to operate vehicles with multiple trailers attached;
(H) Hazardous materials - the Hazardous Materials endorsement on a CDL permits drivers to transport dangerous materials;
(S) School Bus/Passenger Transport Combo - the School Bus/Passenger Transport Combo endorsement on a CDL allows drivers to operate vehicles designed for both school bus and passenger transportation;
(N) Tank Vehicle - the Tank Vehicle endorsement on a CDL permits drivers to operate commercial vehicles that transport liquids or gases in bulk containers, such as tanks;
(X) Tanker/HAZMAT - the Tanker/HAZMAT endorsement on a CDL allows drivers to operate tank vehicles that carry hazardous materials:
When the information is filled out press Finish. The new added driver will appear in the driver list.
Viewing and managing the driver asset
To make the assets management easier, there are filters that can be applied - the filters can be selected on the top of the screen:
To view a driver, press on the specific driver - the information will be presented:
The information can be edited if needed by pressing on the pen icon on the top of the screen;
To send a notification to a driver press on the phone icon on the top of the screen. More information on how to send a notification to the driver can be found here;
On the bottom of the screen the driver mood will be presented - more information on driver moods can be found here;
Driver status can be chosen:
Active;
Inactive;
Vacation;
To add a deductible press on Add Deductible a new window will pop up, fill out the information needed. More information about deductibles can be found here.
To view driver logs press on Logs;
To terminate the driver press on Terminate;
To delete the driver asset press on Delete.
Driver profile
To view the driver's profile, press on the red search icon on the top of the screen, Driver's personal information window will be presented:
On the top of the screen the driver number, status and driver mood will be presented. More about driver moods can be found here.
The time off can be added if needed. More information on how to add time off can be found here.
Driver information will be presented according to the information type - the information can be edited by pressing on the pen icon on the top of the information card;
To view the assignment history press on the View history on the bottom of the screen under the assignment tab;
To view and edit the driver financial details press on Financial tab:
The driver pay details can be edited by pressing on pen icon - if needed the pay details can be deleted;
Weekly driver pay will be shown on the bottom of the screen - the week can be selected by pressing on < or > icons;
To view the safety details press on the Safety tab:
To view and to add imaging press on the Imaging tab:
To add imaging press on the Plus icon;
To view and to add new notes press on Notes tab:

Information not visible
If the information about the driver is not visible, we would advise to refresh the page as the information is not presented live in the TMS.
The page can be refreshed by pressing the refresh button on the used system browser. There is also a dedicated button in the TMS on the right side of the screen:
